Performing Arts Administrative Assistant

Firbank Grammar is seeking an enthusiastic and dedicated part-time (0.41 FTE), term-time only Performing Arts Administrative Assistant to work at our Brighton Senior School Campus in an ongoing position, from April 15th, 2024 (Beginning of Term 2).During school term weeks, this role is required to work 2.5 days per week, the days of which are flexible for the right candidate.We are looking for someone to provide support to the Performing Arts Administrator in the administrative and operational aspects of the Performing Arts program.Key responsibilities:Assist the Performing Arts Administrator in managing Performing Arts program, including rostering, reporting, aiding in financial aspects and managing recruitment and instrument hire.Manage the day-to-day operational needs of Instrumental Music Teachers.Provide support on administration and financial management issues, such as generating and coordinating monthly staff timesheets and ensuring families are charged accordingly for lessons.Deliver timely and exemplary customer service to internal and external clients and the families of students in Performing Arts programs.Coordinate and order resources and materials for Performing Arts students and staff.Manage event coordination internally and externally, including coordinating front of house duties and students.Assist in managing the external Music examination program.Assist in administration and coordination of overseas and local Performing Arts tours.Key Attributes:Sound analytical and problem-solving skills with a growth and solutions-focused mindset. Flexibility and adaptability in a demanding and changing business environment. Strong communication, organisational and interpersonal skills.Demonstrated ability to implement and execute policies, processes, and procedures. Enthusiasm, initiative, and critical thinking skills – has a high achievement drive and acts in a self-directed way. Demonstrates a high level of confidentiality and discretion. Ability to work collaboratively.Understands obligations in relation to Health and Safety and meets expectations.Qualifications and Experience WWCC and First Aid Certificate (or willing to obtain)Qualifications in Business Administration or Performing Arts is desirable.Previous experience working in a large Performing Arts program (or comparable) is highly regarded. Applications close on March 25, 2024. Applications will be considered as they are received, and interviews may commence prior to the application close time.About Firbank Grammar SchoolFirbank Grammar has a rich history of over 110 years, delivering world-class learning programs and outstanding opportunities to its students.
